Custom Localised Payroll Engine Built on Zoho Creator
The requirement. A multinational operating in a region without native Zoho Payroll coverage needed to process variable compensation inside their existing Zoho ecosystem rather than exporting to spreadsheets every month.
The architecture we built
A secure payroll calculation application on Zoho Creator, interfacing with HR records through authenticated API hooks and posting results into Zoho Books.
Key platform elements
- Dynamic map structures. Deluge key-value tables holding regional tax slabs, variable allowances and deduction rules, read at runtime so a regulation change is a data edit rather than a code deployment.
- Attendance ingestion. Approved overtime, loss-of-pay days and leave balances aggregated automatically from Zoho People each cycle.
- Books API ledger automation. On payroll sign-off, a validated script loop constructs and posts double-entry journals into Zoho Books, with a pre-post balance check that aborts the run if debits and credits disagree.
- Immutable pay-run snapshots. Each finalised run is frozen to a locked record set so historical payslips can never be silently altered.
Outcome
The client replaced a multi-day spreadsheet hand-off with a single-click verification pipeline, eliminated recurring calculation errors and gained a complete audit trail for compliance review.
